Business Letters

Personal letters are simple, sincere and friendly in tone. Business letters, such as complaints, enquiries and orders, are formal and matter-of-fact. They are written to or by offices, firms and professional bodies and aim to transact or record some specific business.

  • The format of a business letter differs from that of a personal letter.
  • The language of a business letter is more formal than that of a personal letter; the intimate, chatty style appropriate to a personal letter is generally not used in business correspondence.

Subject: Replacement of 'Samsung' washing machine

Dear Sir,

I bought from your store an automatic Samsung washing machine last week against cash memo No. 11562 dated 10-03-20__. I regret to inform you that the machine does not work satisfactorily. It does not wash the clothes properly and makes an unbearably loud noise. I believe there is something gravely wrong with its motor or ball bearings.

The first wash itself proved to be a great disappointment to all of us who stood expectantly around it. I bought the machine on your assurances of its excellent performance, which have all proved untrue. I think this is a case of a manufacturing defect.

I request you to replace the machine at the earliest since it is difficult for us to manage without it. A written one-year warranty was given with this machine.

Yours faithfully,
Geeta

FAQs on Examples: Business Letters

1. What are the main parts of a formal business letter for CBSE Class 10 English?
Ans. A formal business letter contains seven essential parts: the sender's address, date, recipient's address, salutation, body, complimentary closing, and signature. The sender's address appears at the top, followed by the date in proper format. The recipient's address comes next, then a formal greeting like "Dear Sir/Madam." The body contains the main message in clear, concise paragraphs. Finally, a professional closing phrase precedes the signature. Proper formatting and alignment are crucial for creating a well-structured business correspondence.
2. How do I write the opening paragraph of a business letter correctly?
Ans. The opening paragraph should immediately state the purpose of writing in a single, clear sentence. Avoid lengthy introductions or unnecessary details. Use formal language and maintain professional tone throughout. The opening sets the context for your entire letter, so mention the specific reason, reference number, or previous correspondence if applicable. Keep this paragraph brief-typically three to four lines-and ensure it directly addresses the recipient's needs or responds to their query with confidence and clarity.
3. What's the difference between formal business letters and informal letters in Class 10 English grammar?
Ans. Formal business letters maintain strict professional tone, standardised formatting, and formal salutations like "Dear Sir/Madam," while informal letters use conversational language and personal greetings like "Dear John." Business letters follow rigid structural conventions with complete addresses and formal closings such as "Yours faithfully," whereas informal letters allow flexibility in layout and casual phrases. Business correspondence addresses professional matters-complaints, inquiries, applications-with objective language, while personal letters express emotions and relationships using subjective, friendly vocabulary and abbreviations.
4. Why do business letters need a specific format and layout for exams?
Ans. Standardised business letter format ensures clarity, professionalism, and readability for recipients unfamiliar with the sender. Examiners assess formatting adherence as it demonstrates your understanding of professional communication standards and attention to detail. Proper layout-including margins, spacing, and alignment-reflects organisational skills and respect for conventions. Following CBSE guidelines for business letter structure shows competence in formal writing. This consistency allows employers and official recipients to quickly locate information and take appropriate action, making format evaluation a critical assessment criterion.
5. How should I handle the complimentary closing and signature in a business letter?
Ans. The complimentary closing must match your salutation's formality level. For formal business letters beginning with "Dear Sir/Madam," use "Yours faithfully" or "Yours truly." If you've used a specific name like "Dear Mr. Sharma," close with "Yours sincerely" or "Kind regards." Place the closing two lines below your final paragraph, followed by four blank lines for your handwritten signature. Type your full name below the signature block. Never use casual closings like "Thanks" or "Cheers" in formal business correspondence, as these undermine professional credibility and violate CBSE examination standards.
