Demo - New Features of Sage 300 CRE *Sage Timberline* 12.1 Release Video

hello and welcome to the customer
release training for Sage 300
construction and real estate this is for
CD version 12.1 my name is Olivia Romer
and joining us later is Seth Meyers
we are both Sage 300 construction and
real estate certified consultants
together we have a total of 18 years of
experience with Sage 300 construction in
real estate formerly sage Timberline
office first thing you'll notice is a
refreshed user interface what this is is
the whole Sage 300 construction in real
estate has been given a more updated
look
you'll notice that everywhere it used to
see sage Timberline office it now says
Sage 300 construction and real estate
there also has been some updates to the
look at the menus the application
windows and now you can select the
special themes and backgrounds you can
even include your company logo inside
your sage TS main desktop hello my name
is Seth and I'm here to show you some of
the user interface changes that Sage 300
CRE has implemented the first note the
first noticeable change is in the icon
for sage desktop it used to be called it
sage desktop and it had a slight
variation in the colors now it's just
called desktop when you actually go into
one of the applications for example
accounts payable or payroll or even TS
main you'll notice that the things have
changed as far as the border of the
applications the menus themselves are a
bit easier to read as far as the font
and then you'll also notice that you're
scrolling through the different items in
the menus you've got what looks like a
new goldenrod or orange colored
highlight now makes it a lot easier to
read just like the older versions
everything that's user specific is
change through this tools and customize
menu so for example if we go into
customize you'll notice that we have two
new tabs one of them is remote print
which we'll talk about in a minute and
then the other one is your appearance
tab and this is where each person gets
to customize their own desktop so in our
case when I go to the appearance tab
you'll notice the first option is theme
and the theme is what gives us these
different color variations so for
example the default the sage sends is
this office 2007 blue if we chose for
example office 2007 silver and then say
okay you'll notice that the colors of
everything in the backgrounds change the
menus will change accordingly so if the
background color for example is black
the font turns to white so it's a little
easier to read so if I go back into
tools and then customize go back to my
appearance tab the second option is this
check box that says show background what
this does is it gives you ability to use
either a JPEG a TIFF or a bitmap file
and embed a picture and that picture is
always in the upper left corner of those
applications so as your image changes in
size it will grow in the background as
well you'll notice here that I just have
our tag logo embedded in here so just
like any other application when you
click on the button you can select the
different pictures or items you want so
for example these are ones that come
standard with sage now we choose the
tractors and then we say okay you'll
notice that now we have a picture of
tractors so I'll go ahead and go back in
here to tools customized we'll go to our
appearance tab and then I'll just go
ahead and put it back to our default
logo the next option is this show logo
checkbox what this does is it makes the
Sage 300 construction and real estate
section in those applications show or
not show for example if I uncheck that
and then say ok notice that you still
keep your logo whatever your item is
that you've displayed but now the Sage
300
instruction real estate has disappeared
and this because it's in your customize
window is for all applications so again
if I go back to tools and then customize
go to my appearance tab and check the
box
show logo and say okay then it comes
back and in any of your applications as
you resize your window you'll notice
that the icon on the bottom right moves
you'll notice that our emblem or our
picture up here is not moving at all so
kind of keep in mind that if you create
a bitmap or a JPEG that's huge you may
actually lose some of it depending on
how big your application windows are
grid resizing has also improved in
Accounts Payable the select invoices to
pay window can now be resized and the
distribution display limit of 35
characters has been removed you can also
resize the verify statement balance
which is a feature that was introduced
in version 9.8 you can also increase the
size of the enter invoice change invoice
and pending invoice windows in accounts
payable depending on your screen
resolution size will determine the
amount of lines that are increased if
you have 800 by 600 resolution you get 8
lines 1024 by 768 15 1280 by 1024 22
Lions the same for payroll enter time
800 by 600 10 lines 1024 by 768 17 lines
and 1280 by 1024 22 lines please keep in
mind that you cannot go a higher
resolution than 1280 by 1024 as Olivia
mentioned they've increased the grid
size in a few different areas for
example here in accounts payable when
you're going to enter invoices and you
go down to the distribution depending on
what your screen resolution set to
you'll get more rows for example right
now I have my screen resolution
maximized so as you can see you have
many many more rows in the distribution
that you can see reporting has also
improved now you have the remote print
feature available what this allows you
to do is send your print job to a faster
machine such as your server once it
finishes processing the
it sends it back to your workstation to
print this has to be done in two places
you can send it up through options and
then tools and customized also if you do
not want to set this up you can do it on
the fly with remote print available in
the printer setup screen the next thing
that they've changed is the ability to
do what's called remote print what
remote print does is it gives you the
ability to select either a different
machine like your server or another
person's workstation that maybe not be
used as often to generate your reports
this gives you the ability to keep
working on your own machine and not type
up the resources on your computer while
those reports are generating for example
if you run the custom accounts
receivable aging report a lot of times
the crystal-based ones can be kind of
slow but you have the option to do now
is say hey I want to run my reports on
the server generate them but when you
get the print preview it will still pop
up on your screen in order to activate
theirs there's two sections you have to
set up the first one is through tools
and options options is what turns the
feature on or off for everybody in the
sense of giving them the ability to do
this and you're going to tools options
you'll notice that we have a tab called
reports just like you had before but now
there's a new button called remote
printers when you click on the remote
printers they'll get a new window that
pops up and you would see all the
different printers that you potentially
could select and when you're done you
hit close and then you say ok this
enables the feature for everybody in
your office
now in order to turn it on for an
individual person you go back into tools
and then customize and you'll notice
that like I mentioned there's now a
remote print tab and then we have this
check box that says remote print when
you check that that means this person on
this machine will be able to use one of
those printers that you've selected and
set up a few minutes ago you'll always
want to do validate just to make sure
that their computer can connect and
actually communicate with those
networked printers when done you say ok
and then any reports that they generate
for example if I go to reports lists and
vendors and I go to my printer setup
you'll notice that I have this new
checkbox that says use remote print and
by default because I've gone through
tools customized and selected it this
will be chosen for all prints meaning
any report you print will always go to
this machine again through tools
customize go to our remote print uncheck
the box and say ok now that features
turned off 90% of the time you generate
your reports on your own machine but
once in a while you have one of those
really long reports that you want to
generate you can leave the Box unchecked
in the tools customized but when you
actually go into the printer setup for
that particular report just go ahead and
check the box and when you say ok again
I don't have any selected but when you
hit start
you'll get another window that pops up
and asks you what printer you want to
use and then it will generate for you
there's been improved integration with
Atrix and my assistant now email
addresses that have been added to this
version of Sage 300 construction real
estate are available in Atrix and my
assistant these are the AP vendor
contact one and two emails the employee
email in payroll employee set up the
tenant email in property management and
the project manager and superintendent
email in JC job setup these fields are
ODBC writable but there is no right back
to address book as you can see here we
have the Accounts Payable contact one
and two email addresses and the employee
setup email addresses and last but not
least JC job setup project manager and
superintendent email addresses please
notice that these descriptions can be
changed so if you'd rather that they say
superintendent and foremen email address
you can do so there's also been national
integration with Microsoft Outlook now
you can drag and drop emails directly
into attachments additional integration
with Microsoft Excel has also been
integrated in this version of Sage 300
construction in real estate now any
inquiry you open in any of the
applications you will now see this
export to excel button here once you
click on that button it will pull all
the information as well as formatting
directly into Microsoft Excel please
keep in mind that these files are saved
in your company data folder with the
name of the inquiry if you don't want to
have too much data inside your company
data folder please rename these excel
files and save them to another place on
your server synchronization has also
been improved now when you make no
changes to reports or inquiries in the
reports manager there will no longer be
a synchronization if you only change the
name of a reporter inquiry
a quick synchronization will happen and
a full synchronization will only happen
if you add delete or rearrange any
reports or inquiries an additional new
feature that's been added is you can now
add office connector templates to the
reports menu this is exciting because
now you can launch any of the office
connector spreadsheets directly from
your menu in Sage 300 construction and
real estate if you're using SMTP when
sending emails from Sage 300
construction and real estate you can now
carbon copy yourself if you're not using
SMTP email it will show up in your sent
folder so as Olivia just mentioned you
now have the ability to have carbon
copies for your emails and that's set up
when you go into tools and then options
and you go to mail settings so if you
use SMTP as your mail protocol and what
and this is usually things like Yahoo
Google or Gmail and you check this box
to do a cc then it will carbon copy your
email address when you check this box
for use SMTP to send email so for
example the sender email I could type in
Bob at yahoo.com
and then you want to verify what your
SMTP server is in what port and then any
of the applicable account name and
password and then every time you send
you'll have the ability to carbon copy
notice that as of the year-end update of
nine seven and nine eight all legacy
methods of producing the government
forms have been removed from the
software these forms were formerly under
tasks quarterly forms reports government
reporting and under tools modify forms
quarterly forms Atrix is now the only
supported method of producing government
forms for accounts payable and payroll
if you'd like to learn more about Atrix
please see one of our videos on how to
use Atrix there
an additional improved integration with
purchasing and inventory now entries are
sent directly to job cost and accounts
payable they have completely eliminated
the import process my assistant can now
generate and send report designer
reports in the past you only have the
option to send Crystal Reports it can
also display subtotals for groups and
email notifications and in the quick
viewer and new email directories have
been added for service employee and
service sites the AP vendor now pulls
from the AP vendor contacts and the
project manager and superintendent
emails pull from the Jacey job fields
accounts payable and job costs now have
Bing website Maps integrated with them
as you can see here in the world icon
this will pull up the address of either
your vendor or your job site ditional
features and accounts payable are
subcontractor compliance management
which we'll get to in just a moment we
can generate electronic payments we can
now deactivate vendors please note that
all enquiries and reports have been
conditioned to hide any vendors that
have been marked as inactive and also if
you have vendors that you've marked
inactive who have open APM voices you
are still able to pay these open
invoices now let's take a look at
subcontractor compliance
okay so now we're gonna talk about the
biggest chunk of the 12 release
subcontractor compliance
we're really excited about this because
this now gives you tons of ability to
keep track of different types of
compliance items whether it be your lien
waivers certified reports or other
miscellaneous items there's two areas
that you track subcontractor compliance
in Sage 300 CRE
one of them is in job cost through setup
jobs and the second areas their accounts
payable in the set of vendors first area
is when we go into job cost go to setup
and then jobs we'll just pick a job and
you'll notice there's a new tab called
job compliance this is the main area for
job costs and as you can see it's
divided into four sections based on the
type
of vendors that you have in your system
here we have subcontractor suppliers
others and equipment supplier the first
thing that you get to track is what type
of vendor you want to actually track
your lien waivers out so for example I
have mine set to generate lien waivers
for any vendor that has got a
subcontractor type or a supplier type
these are just toggles so you can turn
them on or off as needed once you
determine which type of vendor you want
then you have to determine what's the
bare minimums before you generate a lien
waiver when you click on the button you
get a new screen that pops up and this
is where you determine if you want to
generate your lien waivers on all
invoices meaning invoices that go to
your commitments or lien waivers on AP
invoices that don't relate to a
commitment and that happens by
unchecking this box so when I uncheck
this the only option is down here at the
bottom where it says if you're not using
commitments then still give me a lien
waiver based on this dollar amount for
demo purposes we're going to go ahead
and use both once you choose the box
that's appropriate you go in here and
you type the amount that you want to use
for your minimum in my case I'm gonna
say 0 for both of them what that does is
it gives me the ability to say I want to
generate a lien waiver for everything by
that I mean if you wanted a penny you
could put in a penny why don't you say
okay it takes us back to the main job
compliance tab and then then you have
the next option to choose which is your
certified reports by checking this box
it will make the system create the lines
of distribution in your compliance each
week that you're doing certified reports
the fourth option is this require final
compliance approval checkbox what this
means is that you must have final
compliance in order to cut that final
check from AP your compliance is going
to be everything from your insurances to
your certified reports and then other
miscellaneous items that you may set up
and I'll show you those in just a second
one other option that you have to give
you a little more flexibility in your
job setups and your compliance is this
box it says choose jurisdiction now
Said's prefilled their sample
data based on a few different criteria
as you can see there's a few different
counties there's a couple of different
states and then they just have generic
terms here so you can customize or
modify this according to what you need
and that's all done through custom
descriptions for example if you do a lot
of federal work some private work and
you only want certain items of
compliance Trak to your government work
you could create a jurisdiction called
government and another jurisdiction
called private then when you set up your
job you select government for example
here then it will know by going through
your compliance items which ones tied at
this job in which one should be ignored
if you choose not specified then
everything will be tied to this
particular job you'll also notice that
we have this section called final
compliance approval percentage this
holds ten percent of the total
commitment it will not release payment
of that retention in our case ten
percent until all final compliance items
have been received in the sense you can
think of it as retainage if you're
tracking lien waivers you need to tell
it what your through data is the 30-day
is the last date that when you print
those lien waivers the work is going to
be accepted on that lien waiver and by
that I mean for example here we have our
third date unconditional lien waivers
set to the last day of the invoice month
if I pair an invoice dated the 13th of
the month and I generate a lien waiver
it will cover me for the entire month
whereas if I change this to say invoice
date the lien waiver will print
accordingly based on my invoice date if
you choose last day a month of course
obviously you then have to tell it what
your last day a month is so for example
you could say hey xx is my cutoff for
all of my last day month invoices same
features available on your unconditional
lien waivers - once you say ok and you
save your job setup you can go to your
next job now I'll show you the accounts
payable section so when you go into
accounts payable and you go to set up
and then vendors we choose our vendor
and you scroll to the right a few tabs
you'll notice that there's a new tab
called insurance compliance this tab
replaced what used to just be called
insurance in the insurance compliance to
have we have three chunks that we need
to work on first one is this button that
says insurance certificates when you
click on the insurance certificates
you'll notice the original four meaning
your general liability your auto your
umbrella and your workers comp they're
still there however now we have two more
types of insurances that we can track
these insurance types as you can see
I've renamed one of them to say Bob's
insurance insurance you'll also notice
that there's a checkbox in here called
override and this will work in your
compliance meaning if I check this box
for Safeco as umbrella insurance it will
let me overwrite anything that's overdue
in my compliance my case I'll just keep
it unchecked the second thing that you
need to work on is this miscellaneous
compliance items and you can think of
this as two different things
number one it's where you actually set
up the different types of compliance
items so for example I can say hey I've
got a particular form maybe it's a drug
test form that I need just for this
vendor you can go in here and add those
different types and as you can see you
can actually mark as things are received
so and as I receive the items I just
checked the box for received and then I
tab over to the receive date and you'll
notice that in my case it's saying
January 30th which is what my computer
clock says it will default whatever your
date is the combination of the received
check box being checked and this
received date will make this particular
item being compliance that gives you the
flexibility of saying hey I'm not
worried about an effective date or an
expiration date I just need to know if
I've received it or not you'll also
notice that as it's like a lot of other
application there's the paperclip icon
so for example I say hey I need to make
sure that this guy sends me a copy of
all the approved - drug test results I
can scan that into my system
save as a JPEG free app or a bitmap I
can come in here click on my icon and I
can drag that file into this window and
then I have it stored in a specific to
this vendor once we close out at the
miscellaneous items we have this third
chunk that's this create lien waivers
for this vendor based on job settings
what this does is it forces the system
to go look at job cost and then based on
what we had our lien waiver set to
remember for example my set my
commitments to be a penny it'll say hey
if I generate a lien waiver for this a
one electric it needs to be for any
invoices where there's a commitment of a
penny if I uncheck this then you can go
through ap settings and set what you
want your limits to be for your lien
waivers in this case I would recommend
keeping it checked okay so now that
we've got job cost and Accounts Payable
set up the next question is well how do
we track any of this stuff what they did
is they put the subcontractor compliance
here in accounts payable when you go to
the task menu and choose subcontractor
compliance management we get the new
window that pops up and when you call in
this support you may hear them refer to
it as a hub the reason they refer to it
as a hub is this is where you track
everything for your compliance based on
the combination of your job and the
vendor the next function that's really
nice is this ability to manage secondary
vendors when you click on the secondary
vendors you get this new window and what
this does is it allows us to essentially
create vendors that are tied to this
particular vendor meaning a one electric
so in my case I've set up a few here on
this job and I say what the relationship
is so remember earlier I mentioned to
you that you can have a second and a
third and a fourth level subcontractor
this is where all that's determined so
for example on this first one I have
Kathy Chu as my secondary vendor and her
relationship is she's secondary to a one
electric down here for example I created
another one called Bob and Bob is also a
secondary to a one
electric then I created another one
called Tim Tim actually works for Bob so
his relationship inside to Bob and Karen
answers to Cathy Chu when you create
these items it's based off your primary
vendor and then also tied to your
commitment which in this case we'll just
use the same one and then we'll call
this one John and now we get this new
window and this is one of the perks of
the subcontractor compliance secondary
vendors you have the ability to create
your secondary vendors as a one-time
meaning hey I'm only going to use this
person once and they were going to see
him again you could create a new company
contact an address book or a new person
so for example if this is just another
guy working from the same company you
just add that person to that company or
maybe you forgot what the IDS call you
can choose to select an existing address
book company or person in my case I'm
just gonna say it's a one time secondary
vendor click OK and then tab over and I
have to determine what the relationship
is when you click the button it brings
up a new window that shows us all the
different vendors that we've set up so
we get to choose who its secondary to
I'm going to choose Tim and then say ok
and now I have John working for Tim if
you remember Tim worked for Bob so
essentially I have a three-tiered level
set of subcontractors right now okay so
when you tab over you can say hey I need
to make sure that my lien waivers are
created for John as well and there's a
good chance he may have certified
rapport so I want to make sure I get
those two joint checks as Olivia
mentioned you now can do easily from 9 8
forward you can choose here if you want
to make that required and then the
commitment item information I can
pre-fill from the commitment item if I
want to
and then any kind of description I want
to put in for this guy and what amount I
want to be tied for him and then the
amount paid based on your joint check
and then of course your dates your
emails and your phones all that kind of
information just like normal and then if
you have a release for that secondary
vendor you can say yep
I've released and what the effective
date is for it so then the next chunk of
our hub are these four tabs you'll
notice we have one for lien waivers on
for certified reports one for insurances
and one for miscellaneous okay so let's
cover these in a little bit more detail
in our lien waivers as well as a lot of
the other tabs you'll notice that the
status by default is outstanding that's
okay that's probably what you're gonna
want to keep most time but just for
grins you could always say hey show me
all the room
so this will show me everything that
I've got for my lien waivers and if I
received them all the pertinent
information so we'll put it to
outstanding and then you'll notice you
have vendor level now again they call it
all primary or secondary and you
remember we had Tim and John and they
were third level well sage determines
anything secondary is anything below me
essentially as a GC primary is show me
all my primary subcontractor information
based on myelin waivers okay so our next
tab is the certified reports and as you
notice again this is sample data but as
you notice there's many many many rows
in here so what this is doing is it's
saying hey every week it's gonna
generate a row in here for me that I
need to go keep track of and again
remember is based off that period end
date setting that we did over in job
cost so as you can see I got a whole ton
of items in here that I have not
received now if you want to say you know
I already know I got it I just haven't
found it yet
you could check the box for override and
then when you go to do your checks and
you get all the warnings saying such and
such as and in compliance you can click
ignore and it will let you ignore this
particular row
thing to remember is if for example
you've got 50 rows of certified reports
you either have to say yeah I want to
override all of them or you need to go
through and actually mark them as
received with a received date
realistically though you're probably not
gonna have this kind of Center where
you've got potentially multiple months
worth of certified reports because
you're probably going to be doing this
on a regular basis but again this is
just a demo and our insurance tabs I'm
gonna go ahead and show it as all this
shows all of our insurances for this
vendor now remember in job cost if you
go into your commitment and you click on
the insurance tab you can set up your
insurance is specific to that particular
commitment in my case I've got it set to
all if I show outstanding of course in
my case I don't have any and then you
can also show you received or your
expired so in this case you'll notice
I've got it marked as expired and my
expiration date in this case well
happens to be all for four of them so
this is a great opportunity where you
could say you know I don't want to have
to worry a whole lot about this yeah
okay I've got my subcontractor
compliance it's really only telling me
when something's expired you could set
up your my assistant though to send
email as to all of your vendors say for
example 30 days before their expiration
date and say hey your insurance is gonna
expire on X date I need you to send in
all the applicable paperwork in the
accounts payable set up vendor Olivia
mention there's that new email field
that is what you would then use in your
my assistant so it's another little
check to keep you in line and not have
to cause a whole lot of headaches you'll
notice here on my insurance I've got the
two tabs ones for commitments and ones
for vendors so again this kind of
reiterates the part I mentioned about if
you go in and update the insurance
information on your commitments then
this will show up accordingly based on
those expiration dates and then the
fourth tab is the exciting one that's
where you have tons and tons of
flexibility again I'll go ahead and
change this to all and you'll notice we
have a jobs tab and a vendors tab
what this vendors tab does is this says
hey I've got miscellaneous items that
are tied to this combination of job and
vendor that I need to keep track of so
for example if we look at this third row
I have a signed subcontract as the
description and it's a document type now
if I go to jobs and you say okay that's
great what's that for well here's where
you can tie your items specific to the
job remember the example I used where I
said maybe you have a federal job and
you have private jobs federal jobs
typically have a whole lot more
paperwork well that paperwork's not
going to be tracked at the vendor level
because that's implying it's for your
vendor for all jobs however you can go
in here to your job section and create
those items so for example I could say
SF 4012 is one of my items and I can
choose the compliance type I'm going to
say it's a document and now I've set up
this requirement for this particular
document for this job over on the right
side you'll notice that we have our
normal four boxes we've got the received
that selected meaning if I click on this
row and I mark received you'll notice
that now our checkbox gets checked and
when we scroll over our received eight
is now pre filling with today's date
because of course today is the 30th if
we do the export to excel then this
gives us the ability to export this
information right over to excel so for
example if you have spreadsheets or
graphs that you're keeping track of all
that information will come up
accordingly and now I want to show you a
general workflow for how you're going to
keep track of the subcontractor
compliance so when we go into job cost
and we go up to tasks and commitments
and we enter a new commitment
right after you hit enter after the
description and you type in that vendor
and you click enter that's where the
compliance comes up you'll notice that
we get a compliance warning and the
screen is divided into two sections we
have the top section which is just white
and this says hey you got some
compliance problems and then the bottom
section is grayed and this kind of grows
as your items decrease so for example if
I only had insurances that were expired
the window would be a little smaller you
say okay great what's this tell me well
I have four vendor insurance
certificates that are out of compliance
for this one vendor name one hundred
well unless you've got really good
memory you're probably not gonna
remember all that information so what
does that mean
well if I hit the details button and I
look at the window that comes up this
tells me what my insurance items are
that are out of compliance now again we
have six so you potentially could have
one through six of them being out of
compliance okay that's good and then
this other section is says five vendor
miscellaneous items are out of
compliance and again remember on our
miscellaneous tab there's those two tabs
one says job one says bender we have an
intern a job information so this is
telling me that any of those items on
that vendors tab in the miscellaneous
section is what's out of compliance so
in my case here these are my five items
that are out of compliance okay so
you've got a couple options you can hit
your compliance management button which
brings up that hub we just saw and you
can mark things accordingly or you can
just say you know I don't really care
I've already got the papers I just don't
have time to enter yet no problem click
ignore now that ignores a one-time-use
meaning the next time I enter another
commitment to this vendor its they're
gonna pop that window up saying hey
you're out of compliance that's okay the
other thing you'll notice is over here
on the right side we now have a check
box this is final compliance approval
what that means is this subcontract or
commitment is going to be one that
requires final compliance items if I
don't check this any of the items I have
that are marked as final compliance will
not pop up as required so when you're
done and you enter all your commitment
information all that gets saved so
that's the job cost site okay in
accounts payable the workflow happens
when we're entering our invoices if I go
to tasks enter invoices and I picked my
vendor we get our window that pops up
again again just like in job cost hey
you got for compliance items that are
out of key for your insurances and you
have five miscellaneous items so just
for grins if I say hey you know I'll go
into my compliance management I'll mark
these items accordingly and then when
you click close it works off the
assumption that now you're done okay and
so now the last chunk is you've got your
invoices entered maybe your compliance
has now gone out of compliance since you
enter those invoices it could have been
a month or two and you're getting down
the point where I need to cut a check
for this person he's standing right next
to you says hey I need my money so when
you go into tasks select invoices to pay
and choose on-screen list if I choose
start we get that window that we talked
about a few minutes ago that's grown in
size and you'll notice now we've got
these blueish colored C icons so this
means that each of these items have
compliance issues that we need to figure
out what's going on with when you click
on the row that has the blue C and you
click on compliance management it says
here's where you're out of compliance
not a problem I can say ignore and then
say okay and then close and when I go to
print my checks depending on whether a
nice ED ignore will determine if my
checks actually print or not if I choose
an invoice that I didn't choose ignore

thing you want to keep in track of is
those journals so if you always throw
your journals out and now's a good time
to start keeping them
when we go into this tasks and do print
checks and in my case I'm gonna go to a
print file just so that we can see
everything and choose number one and
number two and then when those are done
generating we go up to our file and
pronounced and again you can always go
to your printer we want to look at
number two and this is where it tells us
if we had issues so I remember we had
compliance issues the read off kilter
now the way I've got it set up is I have
it set to not let me ignore anything so
here for example it says stare error
checks not printed here's why my vendor
has invoice number 1234 where the lien
waiver through date has not been
received so that means I need to go into
my hub and go to my lien waivers and
Markham has received for all of these
different dates then you'll notice that
I've got a whole ton of certified
reports again that huge long scroll list
here's all the certified reports and
then after our certified reports we have
our insurances and then we have our
miscellaneous items for that particular
vendor if we had items or out of
compliance
once you change and clean up all of this
stuff then all you have to do is just go
right back in and print your check it's
still selected and now it would be clean
as far as meeting compliance and then
you'll get your checks thank you sir

available on accounts payable is the
generate electronic payments this will
create a NACHA file that can be sent to
the bank please note that joint payments
are not allowed and you must save the
generate electronic payments journal to
help you with the bank reconciliation as
you can see we've highlighted it has a
series of digits when you go to
reconcile your bank accounts in the
description field it only shows those
series of digits so in order to
reconcile
properly you will need to keep the
generate electronic payments journal
