Letters are still an important means of communication, whether it’s a cover letter for a job, a bank reminder, or a college acceptance letter. It is an important part of a student's writing skills. Letters are of two basic types: Formal Letter and Informal Letter

1. Formal Letters:

Formal letters are those letters that have formal information from one person to another. These kinds of letters include business letters, official letters, applications, etc.

  1. Begin by putting your address at the top.
  2. After that, write the date.
  3. Next, write the address of the person or company you're sending the letter to. It can be the name of the company or the person representing it.
  4. The subject is crucial. It's a short line stating why you're writing the letter.
  5. Start the letter with "Dear Sir/Ma’am" or if you know the person well, use their name like "Dear Shrinath".
  6. The main part of the letter should have three paragraphs.
    • In the first one, introduce yourself and explain why you're writing.
    • The second paragraph should give all the details about the matter.
    • The third paragraph is where you conclude and share your expectations.
  7. To finish, use a polite closing like 'Yours faithfully' or 'Yours sincerely'.
  8. Your signature should have your name (written clearly) and your job title below it.
(i) Business Letters: These letters are used as a communicative tool between businessmen or traders, firms and companies, and customers to businessmen.
 

 Example: Write a letter to the customer service manager of Ganesh Electronics Pvt. Ltd. complaining about a defect in the music system purchased from the store. Sign yourself as Gauri/Gaurav.

(ii) Official Letters: These kinds of letters are used to communicate with government bodies or offices. Applications are also included in such categories. These can also include letters to newspapers, reference letters, job letters, etc.

These types of letters are written to relatives or friends. These also can include invitations etc. Such kinds of letters are also known as personal letters or social letters. There is personal information or descriptions in these letters.

  1. Sender's Address and Date:
    • To start, write your address on the left side of the paper. Make sure to include your full address with the pin code.
    • After that, write the date. This helps the person know when you wrote the letter.
  2. Greeting:
    • In informal letters to friends and family, use their names with words like Dear, My dear, Dearest, etc.
    • You can also use pet names or their relationship with you, like Dear Uncle, Dearest Grandma, My dear Cousin.
    • If writing to someone older or of higher rank, you can use Mr, Mrs, Ms, etc.
  3. Introduction and Body:
    • Begin with a friendly intro. Ask about their health and well-being, like saying, "I hope this letter finds you in good health."
    • Explain why you're writing in a relaxed way. Unlike formal letters, you can be detailed and casual.
    • Write as if you're having a friendly chat. Use a personal and relaxed tone. Be respectful if writing to an older person.
  4. Conclusion:
    • End the letter on a friendly note. Make the recipient feel like they had a nice time chatting with you.
    • Let them know you're looking forward to their response.
  5. Closing and Signature:
    • Use warm words like Yours affectionately, Yours lovingly, Your loving friend, or With love for close friends and relatives. Add your name, usually your first name.
    • If you used Mr, Mrs, etc., in the greeting, you can end with Yours sincerely, Kind regards, etc. Follow it with your name.
